Position Summary 

The HR Coordinator is a key member of Effectual’s Human Resources team, focused on supporting the day-to-day execution of HR processes under the direction of HR leadership. This role is responsible for onboarding coordination, HR systems administration, and ensuring accurate and compliant employee records. This position serves as an operational support partner to the Senior HR Business Partner working closely with HR leadership, hiring managers, and IT to ensure consistent and seamless employee experience. 

This is a highly organized, detail-oriented role for someone who takes pride in structured processes, proactive communication, and and strong follow-through. The HR Coordinator ensures that new hires are set up for success, and that core HR processes are executed accurately and on time. 

This role operates under the guidance of HR leadership and does not independently manage employee relations matters or termination decisions. 

Effectual is a fully distributed, high-growth AWS Premier Consulting Partner with approximately 200 employees across 30+ states. This role operates in a hybrid environment and reports directly to the CHRO. 

A Glimpse into the Daily Routine of an HR Coordinator 

 This role operates on a consistent weekly rhythm focused on execution, coordination, and follow-through. 

Monday: Confirm new hire system access with IT and ensure all upcoming hires are prepared for Day 1  
Tuesday: Process I-9s and update ADP records for recent hires  
Wednesday: Coordinate with hiring managers on onboarding activities and follow up on compliance requirements  
Thursday: Send Day 5 check-ins and update onboarding trackers  
Friday: Prepare for upcoming start dates — send manager reminders, confirm buddy assignments, and finalize onboarding checklists  

 

While hiring volume and state requirements may vary, processes are clearly defined and supported by established templates. The HR Coordinator is responsible for executing these processes consistently and escalating any gaps to HR leadership. 

 

Essential Duties and Responsibilities 

Onboarding Logistics 

Support new hires as a point of contact from offer acceptance through Day 30, following established HR processes to ensure a consistent and welcoming experience 
Initiate and track I-9 completion within legal deadlines; conduct E-Verify as required 
Assist with coordinating equipment orders and system access requests with IT; confirm delivery and access before each new hire’s start date 
Follow established onboarding checklists for each new hire cohort, tracking completion and escalating gaps to HR leadership 
Send welcome communications and Day 1 logistics emails using established templates 
Support buddy program coordination as directed by HR leadership; notify buddies, facilitate introductions, and maintain the buddy tracker 
Send Day 5, Week 2, and 30-day check-in communications from established templates; flag early disengagement signals to HR leadership 
Send manager reminder templates prior to each cohort start date; follow up with managers on Day 1 responsibilities as directed by HR leadership 
Enroll new hires in Udemy Business and assign appropriate learning paths on Day 1 

HR Systems & Records 

Support the creation and maintenance of accurate employee records in ADP Workforce Now, including new hire setup, status changes, and terminations 
Process data entry for employee changes including title updates, department transfers, compensation adjustments, and terminations 
Assist in maintaining organized digital employee files, ensuring documentation is complete, accurate, and properly stored per HR standards 
Generate routine HR reports from ADP as requested by HR leadership 
Support benefits enrollment communications and open enrollment logistics in partnership with HR Manager, Payroll & Benefits 

Qualifications 

3–5 years of HR coordinator, HR generalist, or related HR experience 
Hands-on experience with an HRIS system; ADP Workforce Now experience strongly preferred 
Working knowledge of I-9 compliance and E-Verify processes 
Exceptional organizational skills and attention to detail — you follow established processes to a high standard and follow through consistently 
Strong written and verbal communication skills; able to communicate with professionalism across all levels of the organization 
Ability to manage multiple priorities in a fast-paced, distributed work environment while operating within a defined structure and escalating appropriately 
Comfort working with confidential employee information and maintaining appropriate discretion at all times 
Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent practical experience 

Nice-to-Have Skills and Experience 

Experience supporting onboarding programs at a distributed or fully remote company 
Familiarity with Udemy Business or similar LMS platforms 
Experience in a technology consulting or professional services environment

Salary Range for this position: $65,000 – $85,000 annually
